A complete request helps obtain comparable quotations and reduce clarification during production. Here is how to prepare discussions with a PCB and electronics assembly partner.
PCB and PCBA: clarify the supply scope
A PCB is the printed circuit board; a PCBA is the board with assembled components. Specify whether you need bare-board fabrication, assembly using customer-supplied materials or a full supply including procurement, assembly and testing.
Design, industrialisation and production may involve different parties. Explicit responsibilities, revisions and acceptance criteria prevent a price quotation from concealing activities that remain undefined.
The documentation package to prepare
- Board data: fabrication files, stack-up and applicable specifications in the format agreed with the supplier.
- Bill of materials: full manufacturer part numbers, quantities per board, unpopulated components and already approved alternatives.
- Assembly data: placements, drawings, polarity and special instructions.
- Configuration: hardware revision, firmware where relevant and change-management rules.
- Volumes and timelines: prototypes, pre-production, repeat batches and required delivery date.
Industrialisation and component management
Before starting a batch, agree a manufacturability and documentation review. Issues may include component availability, tooling, test-point access or special operations. Every proposed change must follow the customer’s approval process.
Substitution management requires an explicit rule: an available alternative is not automatically an authorised alternative. Also define how to handle excess stock, customer-supplied materials and components with special storage requirements.
Testing and acceptance: define what must be demonstrated
Optical inspection, electrical testing and functional testing serve different purposes. Asking which checks are included, their coverage and which results are recorded helps build a product-appropriate plan.
Among industry references, IPC J-STD-001 and IPC-A-610 address requirements for soldered assemblies and electronic assembly acceptability criteria respectively. Applicability, revision, class and any additional requirements must be agreed for each order.
A generic statement such as “to IPC” is insufficient: distinguish personnel training, applied processes and organisational qualifications, and request relevant evidence.
A checklist for comparing quotations
- Do the quotations cover the same scope and revision?
- Are tooling, programming and test costs separated from recurring costs?
- How are nonconformities, rework and changes managed?
- Which batch, material and inspection data will be delivered?
- Is the partner suited to the required volumes and continuity?
EFFE-G’s role
EFFE-G supports technical and commercial discussions and partner sourcing for electronics requirements. A structured brief provides a common basis for discussing manufacturing capabilities, timelines and requirements.
