EFFE-G PRACTICAL GUIDE · TECHNICAL PROCUREMENT

Looking for a component, material, manufacturing process or partner to automate a process? A well-prepared request helps identify relevant proposals and compare supplier responses.

Where to start when sourcing an industrial supplier

Before asking for a price, describe the expected result. A product code may identify an item, but does not always clarify revision, operating conditions, required documentation and substitution options. For automation solutions, start with the process and its constraints.

The EFFE-G technical procurement connects company requirements with supplier and expertise sourcing. The scope of support is defined for each engagement: solution availability and suitability must be checked case by case.

Requirements checklist: seven key details to collect

  1. Subject: part number and manufacturer, where available, or a description of the required function.
  2. Specifications: drawing and document revisions, dimensions, materials and essential requirements. Specify which constraints are mandatory and which can be discussed.
  3. Quantity: initial demand, potential subsequent batches and expected frequency. State if forecasts are uncertain.
  4. Timeline: required date, whether partial deliveries are acceptable and any project deadlines.
  5. Documentation: certificates, test reports or traceability information required by your procurement process.
  6. Alternative: clarify whether equivalents, redesign or another technical solution are acceptable and who must approve them.
  7. Context: application sector, technical contact and arrangements for sharing confidential documentation.

For initial contact, provide a non-confidential description. Before sending proprietary drawings or project data, agree the sharing channel and conditions with your contact.

How to compare proposals beyond price

Prepare a table using the same fields for every candidate: compliance with requirements, exclusions, minimum quantity, stated lead times, available documentation and commercial terms. Mark unclear items as “to be verified”, rather than treating them as satisfied.

If a substitution is proposed, ask what differences it introduces and which checks it requires. Supplier qualification and technical approval follow the customer’s procedures and applicable project requirements.

Sample initial request

Illustrative example, not a customer case study.

“We need made-to-drawing manufacturing for an initial batch of 20 parts, with potential quarterly reorders. The target date is to be agreed. Material and functional dimensions are mandatory; other characteristics can be discussed with our technical contact. Before the full quotation, we will share the drawing revision and list of required documents.”

If your requirement concerns material handling and automation

Describe the goods flow: retrieval point, destination, load, dimensions, mission frequency and operator interaction. Add available information about material identification and existing information systems. These details provide a basis for discussions with specialist partners; they do not replace a feasibility study.

The guided request gathers your sector, required service and description of the need. It is a starting point for technical and commercial discussion, not a quotation or guarantee of availability.
